Job Overview: 

The Office Manager ensures a luxurious, creative office experience for employees and external parties. This unique position provides attentive, organized, and detailed office support and serves as a key representative of the company’s brand and image to external parties. This person prides themselves on their superior hospitality and customer service skills, anticipates others’ needs, and thrives in an innovative, dynamic environment. This role reports to the People & Operations Director and operates out of the west town office.

What You’ll Do:

  • Ensure for deluxe ambiance and high-end office experience for employees and guests
  • Serve as an Escape Pod brand ambassador and contributes to building a relaxed and collaborative culture
  • In partnership with Account team, assist employees with coordination of travel requests including ground transportation, flight arrangements and hotel booking as needed
  • Coordination of onsite interviews and new hire onboarding; greeting candidates, leading office tours, coordination of paperwork
  • Creates hospitable experience for all guests and vendors 
  • In partnership with People & Operations Director, ensure timely coordination of facilities for all new starts including desk allocation, PC/laptop, phones, email accounts and office access
  • Assist in coordinating exceptional office events, including in-office perks and team lunches
  • Manage and maintain visitors sign-in and building and security access
  • Serve as a single point of contact regarding all office matters, prioritize and act on all queries
  • Execute day-to-day office tasks that ensure the workplace is clean, appealing, and running smoothly (restocking of supplies, watering of plants, tidying of supplies)
  • Distribute and manage incoming and outgoing mail/packages, including arranging courier requests 
  • Ensure basic office upkeep, cleanliness, organization, and maintenance requests
  • Assist in vendor selection, contract negotiations and price agreements for ordering office supplies and consumables and manage stock control
  • Maintain all confidential information, as well as any documentation as required.
  • Establishing and building strong relationships with employees at every level of the business
  • Financial management responsibilities include:
  • Assist in health benefits  policy coordination and selection process 
  • Assist in data entry and admin support for various functions as needed (primarily monthly expenses)
  • Support in collection of and assist in process for payment of vendor and freelance payments
  • Manage timely payment of incoming bills for company overhead expenses such as insurance plans, internet, cleaning services, etc. 
  • Manage formal and informal budgets around office expenses, events, travel, catering, etc.
